Our client is interested in recruiting a temporary Admin Officer within the communications team
Job – Admin Officer
Location – BT2
Rate of pay – £11.70 per hour
Hours of work – Monday – Friday 9am-5pm – 37 hours per week
Starting – immediately
Length of role – 6 months possible extension
Main duties –
· Check press office inbox daily for unsubscribe requests
· Formatting of press releases for website and issuing to media, including proof reading for errors
· Issuing of press releases and media invitations on CRM
· Daily newspaper cuttings uploaded to intranet and internet, and distributed using CRM
· Provide support to the EO in International to operate the Comms Store. Including managing all requests for pop-up stands for press events
· Record and save broadcast items in Proactive Coverage spreadsheet Meridio
· Record all coverage (proactive, reactive and unplanned ) on CRM
· Process media evaluations and send to ICT to upload to Cognos
· Send daily Business Headlines for Belfast Telegraph, Irish News and News Letter to press office every weekday AM
· Maintain the Comms PR planner ensuring entries are accurate, up to date and complete
· Attend monthly planner meeting to record amends and additions
· Proactively seek updates and inputs where there are gaps
· Proactively check the planner on Friday for the coming week and ensure all press releases are in train and photo briefs ready
· Preparing the planner return for approval by DP or SO before returning
· Record and circulate media enquiries received to main press office number and email
· Create Meridio folders for each media and general enquiry received
· Record all enquiries and responses on media enquiry spreadsheet and CRM
· Update media contacts on an ongoing basis
· Provide admin support to DP managing the Media monitoring contract – ensuring costing sheets are prepared, performance issues recorded and highlighted to DP in timely manner
· Booking meeting rooms, catering and logging guests on Tabs FM
· Booking Press Office team meetings, leadership meetings and 1:1s
· Maintain the PR team Meridio folders – opening new folders, moving PR folders from activity to issued
· Update stakeholder list on CRM every 6-8 months
· Provide support to the EO as required to ensure delivery of time sensitive admin tasks and smooth running of press office
· Provide cover for EO during annual leave and sickness
· Provide support to the other areas of Comms Group as required
Main Qualifications / Experience needed –
· Must have 5 GCSEs including Maths and English Grades A-C or equivalent
· Experience or interest in Comms
