Our client, a leading public sector organisation, based in Belfast are looking to recruit a Communications and Engagement Assistant (EO1) to join their team.

The role is available immediately for 3 to 5 months.

Hourly Pay: £11.11

37 hours per week Monday to Friday.

Our client, a leading public sector organisation, based in Belfast are looking to recruit a Communications and Engagement Assistant (AO) to join their team.

The role is available immediately for 3 to 6 months.

Key Responsibilities:

1. Media monitoring and evaluation – compile a daily media monitoring report to be shared with the Management team, to include searching print and online news for items of relevance to the Commissioner and obtaining, recording and circulating relevant press and broadcast clippings for analysis. Using own initiative and judgement to determine what should be included and in particular brought to the attention of the Head of Communications & Engagement.

2. Maintaining and updating media logs and databases and compiling monthly and quarterly media evaluation reports.

3. In the absence of the Head of Communications & Engagement, be able to effectively deal with journalists and report media queries to the senior management team. This will include drafting press releases/statements, briefing documents, and key messages for SMT.

4. Supporting Head of Communications & Engagement with delivery of stakeholder engagement to include political representatives, non- governmental and governmental bodies and the voluntary sector.

5. To monitor activity on the NI Assembly website, including keeping up to date with relevant oral and written questions posed to the Ministers, relevant committees and question time and compiling a weekly political monitoring report which is circulated to the Management team.

6. Monitor social media channels ensuring any issues are identified quickly and addressed and drafting and publishing content for these channels.

7. Develop, write and edit marketing and communications materials, including press releases, blog posts and social media content.

8. Supporting the Head of Communications & Engagement in the planning and organising of events.

9. Maintaining and reviewing website and drafting online content as and when required.

10. Working as part of a team to develop research tools and techniques to identify the best tactics and implement an evaluation regime to evidence the impact of communications activity.

11. Establishing and maintaining professional and positive working relationships with key stakeholders, including media organisations, partners and community-based organisations.

12. Working with and briefing external suppliers such as design, print and media evaluation and bringing any issues with service delivery to the Head of Communications & Engagement.

13. Proactively input into a content planner for social media channels ensuring content is varied and is adapted to meet the needs of the channels, audiences, and adheres to house style, social media policy and corporate branding guidelines.

14. Attend partnership meetings in the absence of the Head of Communications and Engagement and compile and present an insight report into the performance of the Facebook page.

15. Assist the Head of Communications & Engagement in the co-ordination and organisation of meetings/events; managing invitations, venue/room bookings, hospitality, taking photos, providing support with event materials such as presentations and handouts and providing support on the day of the event and making travel arrangements if necessary.

16. Carry out administrative duties for Communications & Engagement function and follow financial procedures when purchasing products and services as requested by the Head of Communications & Engagement.

17. Accompany the Commissioner and/or other staff to events.

18. Provide administrative support to the Head of Communications & Engagement.

19. Co-ordinate correspondence, records and follow up actions of the Head of Communications & Engagement.

Essential Criteria:

Applicants must be able to demonstrate via evidence on their application form that, by the closing date for applications, they have: –

1. A third level qualification in a relevant discipline (e.g., media, journalism, PR, communications, Marketing).

AND

2. At least one year’s experience of working in a communications, marketing or PR environment that includes ALL of the following areas:

(a). Drafting communications briefs i.e. press releases, statements, website articles, social media content and publications

(b). Effectively dealing with the media proactively and reactively

(c). Involved in the organisation of engagements/events

(d). Maintaining websites and social media sites

(e). Experience in use of content management systems to draft and

publish communications

(f). Provision of administrative support including working with all MS Office packages, dealing with queries in person and by telephone, arranging meetings, handling correspondence, keeping records, both IT-based and manual.

OR

In the absence of a third level qualification in a related discipline have three year’s relevant experience in all of the above areas (2a to 2f)

3. Excellent oral and written communication skills, highly developed liaison and interpersonal skills and evidence of working as part of a team.

4. Must be resourceful and take initiative even when given minimal direction.

5. Ability to work under pressure, adapt to changing priorities and multitask to meet tight deadlines.

6. Dealing with information with tact, judgement, discretion and confidentiality

Essential Criteria:

Qualifications

 

  1. A minimum of five GCSE passes at Grade C or equivalent, which must include English Language and Maths.

 

AND

 

  1. At least one year’s relevant experience of working in a communications, marketing or PR environment, where relevant is defined as possessing experience in ALL of the following areas:

 

  1. Drafting copy for a range of communication purposes, eg, publications, media releases, website articles

  2. Involved in the organisation of events

  3. Maintaining websites and social media sites

  4. Provision of administrative support including working with all MS Office packages, dealing with queries in person and by telephone, arranging meetings, handling correspondence, keeping records, both IT-based and manual.

 

OR

 

In the absence of the educational qualifications have 3 years relevant experience in all of the above areas 2a – 2d.

 

AND

 

  1. Excellent oral and written communication skills, highly developed liaison and interpersonal skills and evidence of working as part of a team.
