We are seeking a Receptionist for our client in the Newtownabbey area

The role is full time hours Monday – Friday 9.30 am – 6pm with an hourly rate of £9.21 (variable depending on experience)

This position will be on a temporary basis for approximately 6 months starting as soon as possible with a view to becoming permanent.

Main Duties

Act as first point of contact meeting and greeting clients coming into the Practice maintaining a courteous, helpful and efficient manner at all times.

2 Provide hospitality to clients on arrival at the Practice and as required thereafter, and to other individuals and groups as required.

3 Answer telephones and deal with callers appropriately whilst also ensuring calls are correctly re-routed and messages received are promptly delivered when necessary.

4 Manage and arrange appointments for the Practice ensuring that client files are prepared and available in advance of such appointments.

5 Manage and arrange appointments and meetings for the Clinical Lead ensuring that where necessary files are available with the appropriate documentation in advance of such appointments.

6 Process payment received directly from clients e.g. cash, cheque, card and issue receipts.

7 Maintain appropriate computerised and manual filing systems, ensuring the data is kept up to date and assisting in the preparation of reports from such records as required.

Process, respond to or redirect, as appropriate, incoming communications by email, post, facsimile on all Practice matters.

9 Process and prepare outgoing mail ensuring post is franked and taken to Post Office before closing time.

10 Operate and maintain office equipment e.g. photocopier, facsimile, printer and arrange external maintenance as required.

11 Organise Practice events such as meetings, training, etc and ensure that rooms, hospitality, equipment, etc are available.

12 Contribute to and participate in, where required, events relating to and supporting the Practice e.g. staff meetings, training events, promotional events.

13 Monitor and replenish Practice supplies and requisition stock as required e.g. office supplies, stationery, tea/coffee, milk, catering supplies, toilet rolls, etc.

14 Maintain the general tidiness and presentation of the reception area e.g. magazines in reception area, empty bins, clear access and exits, and report health and safety issues immediately to Clinical Lead.

15 Supervise other individuals as and when required by the Clinical Lead e.g. placement students.

16 Undertake training and development as appropriate.

17 Any other duties as required by the Clinical Lead.

Essential Criteria

A minimum of 5 GCSEs or equivalent grades A-C, including English Language and Maths.

2 A recognised IT/Word Processing qualification e.g. CLAIT, ECDL, OCR/RSA.

3 A minimum of 1 year’s experience of working in a reception environment within the last 5 years with duties similar to those outlined above.

4 Experience of using Excel spreadsheets.

5 Evidence of good oral and written communication skills. 6 Evidence of working as part of a team.

7 Ability to work on own initiative and with a sympathetic approach.
