Specialist Deputy Principal Secretariat Role – Professional and Administrative support

Temporary role – 3 months with possible extension Pay rate 19.76 per hour

The post holder will be responsible for:

  • Preparation and drafting of work streams / tasks emanating from sub groups for referral to Grade 7, the responsible Urban Regeneration Director(s) and / or SRO to include, submissions to the Minister, Correspondence cases, Invitation cases, Treat Official cases, Preparation of Assembly Questions ( Written and Oral ), Ministerial Advisory Group (MAG) input, Communities Committee responses.

  • Drafting of Position / Issues papers produced by sub groups on various topics: (a) Influencing Policy & Strategy (b) Developing Capacity (c) Developing & Promoting Good Practice (d) Influencing and Shaping Intervention and Investment.

  • Undertake the secretariat role for the sub group to include the management of the arranging of meetings, issuing meeting papers to members via Chair, taking minutes etc.

  • Build effective working relationships with cross Departmental colleagues and outside bodies

  • Publicity – preparation of HSTF sub group input into press releases for referral to Grade 7 and the management of publicity within agreed publicity guidelines.

  • Preparation of publicity material for referral to HSTF Grade 7 to promote the work of the sub group via agreed promotion formats e.g. Twitter / Facebook.

  • Undertake a liaison role for the outbound & inbound flow of information between DfC sub group chairs and the HSTF Grade 7 secretariat as appropriate.

  • Undertake a liaison role for the outbound & inbound flow of information between DfC sub group members, sub group chair and lead and manage the retention of all appropriate information within NICS Content Manager System.

  • Deputise for the Grade 7 secretariat at HSTF Plenary Meetings or other meetings as necessary e.g. with other bodies, organisations, departments when the Grade 7 is not available.

  • Deputise for the Grade 7 at symposiums and participation in activities and events organised by other groups.

  • Support the Grade 7 in the planning, implementation & delivery of wider stakeholder engagement and outreach work and the collation and quality control of draft findings and recommendations of that engagement.

  • Support the Grade 7 in the collation of responses to government consultations.

  • Contribute to the discussion on the future development of the HSTF and secretariat.

  • Undertake any other duties deemed appropriate to the role by the Grade 7 secretariat or SRO.

  • Liaise with Grade 7 regarding the Identification and Procurement as per agreed process of stationery and publications and other services as required.

Essential Criteria

3 years experience in a management of Experience of working in a central government

environment, working with senior officials and ministers.

OR

(2) Experience of working with senior personnel in a similar environment, for example, within Local Government, the private sector or the voluntary and community sector.
